Please find below a sample calendar, which may be a good preparation agenda for the trade fair.
6 months before the fair
- determine the objectives that you want to achieve by participating in the trade fair
- decide about the form of participation (an individual stand or together with a chamber, association, producer group, professional organization, etc.)
- define the size of the stand, type of construction (standard or self-arranged), the location
- apply for participation in the trade fair
- remember to send your company data to the catalogue

Study carefully the forms: pay attention to deadlines, terms of participation, specific provisions, charges and regulations of the fair
At registration the deposit should be paid. It is the condition of acceptance.
3 months before the fair
- plan the idea of the stand (design, architecture, equipment, exhibits)
- order the stand construction
- specify the media you want to use in the advertising campaign
- prepare promotional materials
- book the accommodation
- prepare the list of guest and customers you will invite
- inform the organiser about conference rooms' requirements

2 months before the fair
- select and prepare appropriate stand's service
- implement promotional campaign related to your participation in the trade fair
- order the transportation of the exhibits
- inform us about your novelties you plan to exhibit at the trade fair
- take into consideration the use of Press Service of Exhibitors
A month before the fair
- determine the dates of meetings with clients
- send invitations to your customers
- you will receive guides for visitors, which you can send to your customers
- complete the necessary promotional materials
- confirm hotel booking
A week before the fair
- remind by phone to invited guests and customers
- confirm or determine the timing of your meetings
- check out your stand's construction building
